This privacy policy explains the kinds of data that is collected of you as you participate in this platform, the purpose of data collection, and your rights as a user.
Please read carefully and agree to the following privacy policy in order to continue using our platform.

Data collection


We collect personal data on the OpenEvo Learning Hub site in the following way. 


Registration


When you create an account on the OpenEvo Learning Hub, you are required to submit the following information:

  • username

  • First name

  • Last name

  • email address

  • password


After registering you may change your first and last names, email address and password any time. Only the admin can change usernames.

You may optionally provide further profile information such as city and country, institution, or your website.


Visiting the site


The following data is collected by Moodle in a log file when visiting the site:

  • IP address

  • Time and date of access

  • username (or “Guest” when not logged in)

  • context of activity, e.g. system, module category, module, activity or material, dashboard

  • type of activity, e.g. viewing, creating, deleting, submitting an assignment, answering a quiz question, starting a lesson, posting a forum entry


This data is collected at site and at module level. Only admin have access to log data at site level, while teachers have access to log data at the module level.

This logging of activities is necessary to assure the functionality of the site. Furthermore, it is necessary both for students and teachers to track learning progress and completion of activities and modules. 

You can not opt-out of this data being collected as you visit the site. 


Engaging in modules and activities


Data is submitted by users within activities in modules, including quiz and questionnaire responses, assignments, forum discussion entries.

This data is deleted when modules are deleted. Teachers can export this module data into other formats and process it outside of the OpenEvo Moodle site.


Data transfer and processing

Any of the collected data within modules may be exported by admin or teachers to be further processed and published for research and educational purposes. During processing for research purposes, all data is anonymized (names/usernames, IP addresses and any other identifying information will be redacted). None of your personal data will ever be shared with third parties outside the OpenEvo network.

You are asked to give or withhold your voluntary consent for the use of your data for these research purposes in the Research Consent form. 

For transparency, you may also be asked within specific modules to give or withhold your voluntary consent for the use of your data for research purposes. Your decision in this instance applies only to the respective module context and overrides your decision in the Research Consent form.


Data retention and deletion


All data collected on the site will be stored indefinitely in order to trace the history of use of the platform. 

You may request the deletion of your data and user account through the data removal request on your profile page. Note that this will no longer allow you to log in to the site and information about all your previous activities on the site, including all module and activity completions, will be deleted. Any forum posts are blanked and replaced with a sentence stating that the post has been removed. However, if the user started any discussions, their name is still shown on the forum page.


Cookies

This Moodle platform uses Cookies. Cookies are text files stored in the Internet browser or on the user's computer system. A cookie enables the browser to be clearly identified when visiting the website again. 

Two cookies are used on this site: MoodleSession and MoodleID

MoodleSession must be enabled in your browser so that you remain logged in as you visit different pages of the site. When you log out or close the browser, the cookie is deleted automatically.

MoodleID remembers your username for the next time you login to the site. You can opt in or out of allowing this cookie through the checkbox “Remember username” on the login page.


Matomo


We use the web analytics service Matomo. Matomo is used to analyze the behavior of website visitors to identify potential pitfalls, not found pages, and to understand which contents are the most visited by which types of user.

Matomo is processing the following personal data:

  • Cookies

  • IP address

  • Country location of the user

  • Date and time

  • Title of the page being viewed

  • URL of the page being viewed

  • URL of the page that was viewed prior to the current page

  • Device type, screen resolution, operating system, Browser, Browser language

  • Time in local timezone

  • Files that were clicked and downloaded

  • Link clicks to an outside domain

  • Pages generation time

This data is not being stored together with Moodle log data such as user names and specific type of activity nor with user profile data.

User’s Rights


The right to be informed - You have the right to be informed by us about the data stored about you on the OpenEvo learning hub. On your profile page you find the option to contact the OpenEvo Learning Hub Privacy Officer with your questions and concerns.

The right of access - You have the right to access and receive a copy of your personal data. You can access your profile data and export all of your personal data on your OpenEvo Learning Hub profile page.

The right to rectification - You have the right to have incorrect or incomplete data about you corrected or completed. You can do this partly by yourself by editing your profile information, or ask administrators.

The right to erasure or right to be forgotten - You have the right to delete all your personal data and your user account. You can delete your account and request to delete your data on your OpenEvo Learning Hub profile page.

The right to restrict processing - You have the right to opt-out of further processing of your data for research purposes in the Research Consent form. Please also see the section on Data transfer and processing above.

The right to data portability - You have the right to obtain and reuse your personal data for your own purposes. You can access your profile data and export all of your personal data on your OpenEvo Learning Hub profile page.
